- Nod or use expressions like “Yes, sir/ma’am”, “I understand”, “You’re absolutely right” to show that you are engaged.
2. Use polite and gentle language
- Use positive and respectful words: “Yes”, “Please kindly…”, “I’m sorry for the inconvenience…”, “Thank you for your feedback…”
3. Put yourself in the customer’s shoes
- Understand the customer's emotions and needs to respond appropriately.
- For example: “If I were in your position, I would feel the same way.”
4. Always stay calm and professional
- Even if the customer is difficult or angry, remain calm and avoid arguments. De-escalate the situation with phrases like: “I’m truly sorry for what you’ve experienced. Please allow me to assist you right away… I honestly wasn’t aware of this… Let me check immediately and get back to you with an update…”
5. Communicate clearly, concisely, and to the point
- Avoid rambling or using too much technical jargon (especially if the customer doesn’t understand). Don’t blame others or dodge responsibility—focus on solving the problem or escalate it to the appropriate level.
- Make sure the customer clearly understands what you are saying.
6. Always keep your promises
- If you promised to call back, send an email, issue a refund, etc. – make sure you follow through.
- Trust is built from small commitments kept.
7. End on a positive note
- Whether the feedback is positive or negative, end the conversation with a positive and sincere attitude.
- For example: “Thank you for taking the time to share your feedback—it’s an opportunity for us to improve.”
